Invite your team and manage roles

How admins invite teammates, how roles and permissions work, how invites are accepted, and how to remove a team member.

Admins add people to a CRM from the Team page. People who need to sign in get an email invite and set their own password. Nobody else ever sets a teammate's password.

How do I invite a team member?

Only admins can invite team members. To invite someone:

  1. Click Team in the left sidebar.
  2. Click Invite team member.
  3. Fill in First Name, Last Name and Email. You can also add a Phone Number, an Hourly Rate and a Role.
  4. Choose what this person can use with the Campaigns, Phone Calls and SMS switches, and choose their notification settings.
  5. Click Send invite.

Interdatum emails the person a secure invite link so they can set their own password. The person appears in the team list with an Invite pending badge until they accept.

If you leave the Email field blank, the button changes to Add team member. That adds someone to your team who does not sign in, such as field staff you schedule but who never use the app. Their badge reads No sign-in.

If the person already has access to your CRM, you see "That person already has access to this CRM."

How long does a team invite last?

A team invite link lasts 7 days and can only be used once. On the Team page, each person who has not joined yet shows a status badge:

  • Invite pending – the invite was sent and is still valid.
  • Invite expired – more than 7 days passed without the invite being accepted.
  • Invite revoked – the invite was cancelled.
  • No account yet – the person has an email on file but no invite has been sent.
  • No sign-in – the person has no email and cannot sign in.

To manage an invite, hover over the person's row on the Team page:

  • Resend sends a fresh invite link with a new 7-day expiry. The previous link stops working.
  • Revoke cancels a pending invite. The link stops working immediately. The person stays in your team list as inactive.
  • Send invite appears for someone who has an email but has never been sent an invite.

If the invite email could not be sent, you see a message asking you to use Resend to try again.

What roles are available?

Every CRM starts with two roles:

  • Admin – full access to the CRM. Admins see every section in the sidebar, including Dashboard, Files, Jobs, Scheduling, Leads, Team, Services, Campaigns, Automation and Settings. Admins can invite, edit and remove team members, and always have Campaigns, Phone Calls and SMS access.
  • Worker – a focused view for field staff. Workers see Dashboard and Jobs, plus Campaigns if Campaigns access is turned on for them.

The person who created the CRM is marked as the Owner. The Owner also has the Admin role. You see these as badges (Owner, Admin or Worker) in the CRM switcher and on the Choose a CRM page.

If you don't pick a role when inviting someone, they get the Worker role.

Can I create custom roles?

Yes. On the Team page, click Manage Roles. Under Add New Role, type a name (for example "Inspector") and click Add. The new role appears in the role list and in the Role menu when you invite or edit a team member.

Custom roles are labels for organizing your team. A custom role does not give admin access; only the Admin role does. What a person can use beyond the basic worker view is controlled by the per-person permission switches described below.

The Manage Roles window does not have an option to delete a role.

What do the Campaigns, Phone Calls and SMS switches do?

When you invite or edit a team member, three switches control extra features for non-admin team members:

  • Campaigns – allow this worker to open assigned outreach campaigns.
  • Phone Calls – allow browser calling and inbound softphone access.
  • SMS – allow manual texting from CRM drawers and widgets.

On the Team page, the Access column shows a Campaigns, Phone or SMS badge for each switch that is turned on, or Limited if all three are off. Admins always have all three features, whatever the switches say.

The edit dialog also has notification switches: Email Notifications, SMS Notifications and Assignment Notifications. SMS notifications only go out when the team member has a phone number.

How does someone accept a team invite?

The invited person opens the invite link from their email. The invite page says which business invited them and what role they will have, and which email address the invite was sent to. What happens next depends on the person's situation:

  • New to Interdatum – they enter a password under Create your Interdatum password, confirm it, and click Create account and join. The password must be at least 8 characters.
  • Already have an Interdatum account with a password – they click Sign in to accept, sign in, and then accept.
  • Already signed in with the invited email – they click Accept and open CRM.
  • Signed in with a different email – the invite only works for the email it was sent to, so they need to sign out and sign in with the invited email.

Accepting an invite also confirms the person's email address, because the link was delivered to that address. After joining, the new CRM appears in their CRM switcher alongside any other CRMs they belong to.

If the link shows "This invite has expired", "This invite was cancelled" or "This invite was already used", ask an admin for a new invite.

How do I edit or remove a team member?

To edit a team member, hover over their row on the Team page and click the pencil (Edit) button. Change their details, role or permissions, then click Save changes. If the person has linked their Interdatum account, their email can't be edited, because it is their sign-in email; they manage their email and password themselves.

To remove a team member, hover over their row and click the trash (Delete) button. In the Delete Worker window, click Delete. This action cannot be undone. Removing someone ends their access to your CRM. It does not affect any other CRMs they belong to.

Only admins can edit or remove team members, and you can't remove yourself.
