Switch between CRMs and create a new CRM

How the workspace list and CRM switcher work, how to create another CRM, and what is kept separate in each CRM.

One Interdatum account can belong to several CRMs, for example your own business and a business you work for. You sign in once and then pick which CRM (also called a workspace) to open.

What is the "Choose a CRM" page?

The Choose a CRM page lists every CRM your Interdatum account can open. It shows "Signed in as" with your email, and the reminder "One login for every CRM you belong to."

Each CRM in the list shows:

  • The CRM's logo or initials, and its business name.
  • Your role badge in that CRM: Owner, Admin or Worker.
  • A Current badge on the CRM you currently have open.
  • The CRM's short link name and when you last opened it, or "Not opened yet".

CRMs you opened most recently appear first. Click a CRM to open its dashboard.

After you sign in, if you belong to exactly one CRM, Interdatum opens it for you. If you belong to several, you see the Choose a CRM page. If you belong to none, you go straight to the form to set up your first CRM. To leave, click Sign out at the bottom of the page.

How do I switch to a different CRM?

To switch CRMs from inside the app, use the CRM switcher at the top of the left sidebar. On a phone, the CRM switcher appears at the top of the page. The switcher shows your current CRM's business name and your role.

Click the switcher to open the Switch CRM menu:

  • Your current CRM is shown with a check mark.
  • Every other CRM you belong to is listed with your role in it. Click one to open it.
  • All workspaces takes you to the Choose a CRM page.
  • Create new CRM opens the form to create another CRM.

Your role and permissions can be different in each CRM. For example, you can be the Owner of your own CRM and a Worker in someone else's CRM.

How do I create a new CRM?

You can create another CRM from the same Interdatum account. There is no need to sign up again.

  1. Open the CRM switcher and click Create new CRM, or click + Create new CRM on the Choose a CRM page.
  2. Fill in Business name and Industry. Business phone is optional.
  3. Click Create CRM.

The new CRM opens right away. You are its Owner with the Admin role. If you picked a trade other than "Other", starter services for that trade are added, and you can edit them later.

Before you can create a CRM, your email must be confirmed. You can create up to 5 CRMs per day. If you reach that number, you see a message asking you to try again tomorrow.

If you only want to join someone else's CRM, don't create a new one. Ask that CRM's owner or an admin to send you an invite.

What is kept separate in each CRM?

Each CRM is its own separate workspace. Business data belongs to one CRM and is not shared with your other CRMs. This includes:

  • Clients and leads, bookings, jobs and tasks.
  • Team members, roles and worker schedules.
  • Services, intake forms, pricing rules and billing schemes.
  • Business settings, such as business name, logo, colours and contact details.
  • Your dashboard layout.

What is shared across CRMs is your Interdatum account itself: your sign-in email and your password. Changing your password changes it for every CRM you belong to.

Access to a CRM is checked against your team membership in that CRM. Having the same email address as someone in a CRM is never enough to get into that CRM. You get into a CRM only by creating it or by accepting an invite to it.

What does "Single-CRM sign-in" mean?

Some team members were set up with a staff password for one specific CRM before Interdatum accounts existed. If you sign in with one of those staff passwords, your session only covers that one CRM. The CRM switcher then shows Single-CRM sign-in instead of your role, and a banner asks you to confirm your email.

To get one login for every CRM you belong to, link your Interdatum account:

  1. Click Confirm your email in the banner, or open the switcher and click Link your Interdatum account, then Email me a link.
  2. Open the email and follow the link to confirm and link your account.

After linking, you can switch between CRMs and create your own CRMs. Your old staff password for that CRM stops working once your account is linked.
