Schedule any action, set reminders, and follow up on time

Tell the assistant when: “text Sam tomorrow at 9”, “remind me Friday to call the supplier”, “email the spring list every Monday at 8”. You confirm once, it runs on time, and every run is checked again first. Everything waits in one Tasks hub.

In plain English

Try saying

  • “Text Priya tomorrow at 8 that we're on the way.”
  • “Remind me Friday at 4 to call the supplier.”
  • “Every Monday at 7, tell me what needs attention.”
  • “Follow up with anyone on the spring list who hasn't replied in 3 days.”
  • “If the Patel invoice is still unpaid next Friday, text them a reminder.”
  • “Cancel the 8am text.”

Scheduled actions

Put the follow-up on a timer

Schedule almost anything

Texts, one-off emails, email and text campaigns, tasks, automation runs and lead-status updates can go out later. Times are understood in your business's time zone, up to 12 months ahead.

Repeat on your terms

Every day, every weekday, weekly on the days you choose, or monthly on a date, until a set date or for a set number of runs.

Reminders for you

“Remind me Friday to call the supplier” posts a reminder in the assistant and the Tasks hub. Owners and admins also get it by email, and by text if admin text alerts are on.

Follow-up plans with conditions

Up to 12 steps, each with its own time. A step can check, when it runs, that the person hasn't replied, the lead status hasn't changed, the estimate isn't accepted, or the invoice is still unpaid.

Routines for owners

A standing job like “every weekday, follow up with interested leads”. You approve what it may do, for whom, how often and until when. Anything outside that comes back for your OK.

One Tasks hub

Running, Scheduled, Recurring, Routines and Done in one place. Run now, skip the next one, reschedule, pause, resume or cancel, with the history of every run.

Step by step

How it works

  1. Say what and when

“Text Sam tomorrow at 9”, “every Monday at 8”, “in 2 hours”. A date with no time means 9:00 AM.

  2. Confirm the card

The card shows when it sends or repeats, plus the full message. Tap Schedule it or just say yes.

  3. It runs on time

Each run is re-checked first: your access, that the record still exists, opt-outs and plan limits.

  4. Manage it in Tasks

See everything coming up, pause it, move it or cancel it by tapping or by asking (“cancel the 8am text”).

Safety

Confirm once. Checked every time.

Opt-outs win

If someone texted STOP or unsubscribed after you scheduled it, that run doesn't send and you're told.

Quiet-hours warning

Texts scheduled outside 8:00 AM to 9:00 PM get a warning on the card before you confirm.

No stale sends

A send that would go out more than two hours late is skipped as missed instead of arriving at an odd time.

Questions

Scheduled actions: frequently asked questions

What can I schedule?

Almost any change the assistant can make: texts, one-off emails, email and text campaigns, tasks, automation runs and lead-status updates, among others. Deletes, payments, team and settings changes can be scheduled once but not repeated.

How do repeating actions work?

Choose every day, every weekday, weekly on chosen days, or monthly on a day of the month, at a time of day. Add an end date or a number of runs if you like. The card shows the pattern, such as “Every Monday 9:00 AM”, before you confirm.

What happens if something changes before it runs?

Every run is checked again first. If your access changed, the record is gone, the person opted out, or a limit is reached, it doesn't run and you're told in the assistant.

How does a follow-up know someone replied?

For leads, a text from them or an email from their address in your CRM Inbox counts as a reply, so connect your business mailbox for email replies to count. For a single client, texts count.

Can I edit a scheduled message?

You can reschedule, pause, skip or cancel it from the Tasks hub or by asking. To change the wording, cancel it and ask for a new one.

How is this different from workflow automation?

Automations are visual workflows that react to events, like a new request, a received text or a missed call, and run every time. Scheduled actions are one-off or repeating actions you set up by asking the assistant.
