Your business email inbox, inside the CRM

Connect the mailbox you already use, such as Gmail, Google Workspace, Zoho or another IMAP provider, and customer emails and campaign replies land in the CRM next to the lead or client they belong to. Read, reply, reply all, filter and search without switching apps.

In plain English

With the assistant (Starter & Pro)

  • “Any emails I haven't answered?”
  • “Summarize the thread with Sample Property Mgmt.”
  • “Reply to Dana that May 12 works and we'll confirm the time.”

Email inbox

A real email client, built into your CRM

Connect in minutes

Pick your provider, enter your address and an app password, and test the connection. It imports the last 14 days, then checks for new mail about every minute.

Folders that match the work

Inbox, Unread, Needs reply, Sent, Closed and All mail, with compose, reply, reply all, search, bulk actions and keyboard shortcuts.

Linked to the lead

Replies to your campaigns are matched to the campaign and linked to the lead or client, so you can see who's answering in the conversation itself.

Inbox filter

Show only mail sent to the addresses you choose, keep newsletters and automated mail out, and block senders. Filtered mail is set aside, never deleted.

Sent from your mailbox

Replies from the CRM go out through your own mailbox and appear in your Sent folder, so the conversation stays whole on your phone too.

Flagged when it's waiting

Emails that haven't had a reply show up in Needs Attention, and on Starter and Pro the assistant can catch you up and draft a reply.

Step by step

How to set it up

  1. Open Settings → Notifications

Find the Business email inbox card and choose Connect mailbox.

  2. Choose your provider

Gmail, Google Workspace, Zoho (.ca or .com), Yahoo, iCloud, Fastmail or Other IMAP. Server settings fill in for you.

  3. Use an app password

Most providers need an app password rather than your normal password. The card shows where to create one.

  4. Test and connect

Test connection checks reading and sending, then mail starts arriving in the CRM Inbox.

Safety

Your mailbox stays yours

Read-only on your mailbox

The CRM only reads your Inbox folder. Nothing in your mailbox is moved, deleted or marked as read.

Encrypted credentials

App passwords are encrypted and can't be read back, only replaced. Disconnecting keeps mail already imported.

Safe to open

Remote images stay hidden until you load them, and the assistant treats email content as information, never as instructions.

Questions

Email inbox: frequently asked questions

Which email providers work?

Gmail and Google Workspace, Zoho Mail (zohocloud.ca and zoho.com), Yahoo, iCloud, Fastmail, and any provider that offers IMAP and SMTP. Outlook and Microsoft 365 work only if your Microsoft admin allows IMAP and SMTP password sign-in or your account offers app passwords; otherwise, forward a copy of your mail to your CRM address instead.

Do I need an app password?

Usually, yes. Gmail requires 2-Step Verification and an app password; your normal Google password won't work. Zoho, Yahoo, iCloud and Fastmail also use app passwords. The connect card shows where to create one for your provider.

Will the CRM change anything in my mailbox?

No. It only reads your Inbox folder. Nothing is moved, deleted or marked read in your mailbox.

How are campaign replies linked to leads?

When a reply arrives, Interdatum matches it to the campaign email it answers and links the conversation to the client or lead with that address. You'll see a Lead or Client chip right in the conversation.

Who can see the inbox?

Owners and admins. Field workers don't see the Inbox, and clients never do.

Can I attach files to replies?

Attachments you receive open and download right in the CRM. Replies sent from the CRM are plain text without attachments, so use your regular email app when you need to attach a file.
