Data privacy, separation and export

How Interdatum keeps each CRM's data separate, who can access your data, what you can download or import, and how the terms page works.

Each Interdatum CRM keeps its business data separate from every other CRM, and only the people on that CRM's team can open it. This article explains how that separation works and what you can bring in or take out of the app today.

How is my CRM's data kept separate from other businesses?

Interdatum runs as one application with one database for all customers. Every business record, such as a client, booking, job, service, team member or setting, is tagged with the CRM it belongs to. When you use the app, Interdatum only reads and changes records that belong to the CRM you currently have open.

This means:

  • Other businesses using Interdatum can't see your clients, jobs or settings.
  • If you belong to more than one CRM, data in one CRM is not visible from your other CRMs. Switching CRMs switches which data you see.
  • A CRM that is suspended or being deleted can't be opened.

Your Interdatum account (your sign-in email and password) is the only thing shared across the CRMs you belong to.

Who can access the data in my CRM?

Only your team can open your CRM, and only after signing in. A person can get into your CRM in just two ways: they created the CRM, or they accepted an invite that an admin sent to their email address. Having the same email address as a team member is never enough on its own, and the person's email must be confirmed.

Within your CRM, access depends on role:

  • Admins can see every section and manage team members and settings.
  • Workers see a focused view (Dashboard and Jobs), plus Campaigns, Phone Calls and SMS only if an admin turns those on for them.

Your clients only see the client portal, and they sign in with a one-time code sent to their email.

When an admin removes a team member, that person's access to your CRM ends. Admins can never see or set a teammate's password. Passwords and password reset links are stored in hashed form, not as readable text.

Can I export my CRM data?

Interdatum does not currently have a self-serve option to export your whole CRM, such as downloading all your clients, jobs or invoices as a spreadsheet. If you need a copy of your data, contact Interdatum support by creating a support ticket (choose Talk to a human in the Ask Interdatum chat on interdatum.tech).

Some individual items can be downloaded from inside the app:

  • File documents – documents uploaded to a File (such as PDFs, Word or Excel files, CSV files, text files and photos) can be viewed and downloaded one at a time from the File documents section.
  • Call transcripts – where a campaign call has a transcript, you can open it from the campaign's call list.

Can I import data into Interdatum?

Interdatum can import leads into a campaign from an Excel or CSV file. On the Campaigns page, open a campaign and click Import (or Import Leads). Choose a .xlsx or .csv file, match your file's columns to the lead fields, check the preview, then click Import Leads.

There is no self-serve import for clients, jobs, bookings or invoices. For help bringing that kind of data in, contact Interdatum support by creating a support ticket (choose Talk to a human in the Ask Interdatum chat on interdatum.tech).

Can I delete my CRM or my account?

The app does not currently include a self-serve button to delete a whole CRM or to close your Interdatum account. To ask for a CRM or account to be deleted, contact Interdatum support by creating a support ticket (choose Talk to a human in the Ask Interdatum chat on interdatum.tech).

Inside a CRM, admins can remove individual team members from the Team page. Removing a team member cannot be undone, and it ends that person's access to your CRM without affecting any other CRMs they belong to.

If you only want to stop working in someone else's CRM, ask that CRM's owner or an admin to remove you from their team. Your Interdatum account and your other CRMs stay as they are.

What is the Terms and Conditions page?

The Terms and Conditions page in your client portal shows your own business's terms to your clients. It is not Interdatum's terms of service. The page shows your business name, your contact email, and the terms text you enter.

To set your terms:

  1. Open Settings and click the Client Portal tab.
  2. In Terms and Conditions, enter the terms clients must accept before paying or confirming work.
  3. Save your settings.

Clients see these terms when they click View Terms and Conditions in the client portal. If you haven't entered any terms yet, the page says "Terms and conditions have not been configured for this client portal yet."
