Assistant mode: talk to the AI assistant
How to use Assistant mode, the hands-free voice for the AI assistant: turning it on, talking and interrupting, confirming changes out loud, choosing a voice, session and monthly limits, and what happens when voice isn't available.
Updated
Assistant mode lets you talk to the AI assistant hands-free, in real time. You speak, it answers out loud in short replies, and changes still show up as confirmation cards that you approve with a casual "yeah". Assistant mode is included with the Starter and Pro plans, within your plan's monthly voice limits.
What is Assistant mode?
Assistant mode is the voice version of the AI assistant. It can do everything the assistant does in chat: answer questions about your jobs, schedule, estimates, invoices and leads, and prepare changes like moving a job, texting a client or recording a payment. It's built for when your hands are busy, such as in the truck or between jobs.
Assistant mode is for you and your team inside the CRM. It doesn't answer your customers' phone calls. Customer calls ring in the CRM and go to voicemail; the AI text receptionist answers texts only.
How do I turn Assistant mode on and off?
- Open the AI assistant with the Assistant button in the bottom-right corner of any CRM page, or press Ctrl+K (Windows) or Cmd+K (Mac).
- Click Assistant mode at the top of the panel. You can also press Ctrl+Shift+Space (Windows) or Cmd+Shift+Space (Mac) from anywhere in the CRM, which opens the panel and starts listening.
- Allow microphone access when your browser asks.
When it's ready, the panel shows "Listening — just talk". To turn it off, click Assistant mode again or press the same shortcut.
How do I talk to it?
Just talk. There's no wake word and no button to hold. Ask a question ("What's on the schedule tomorrow?") or ask for a change ("Move the Henderson job to Friday at 10"). The assistant answers out loud in one or two short sentences and shows any details, links and cards in the panel.
Can I interrupt it?
Yes. While it's speaking, the panel shows "Speaking — talk to interrupt". Start talking, or say "stop" or "wait", and it stops speaking and listens. You can also click Stop. Saying "never mind" stops it too.
How do I confirm or cancel a change by voice?
Every change still appears as a confirmation card in the panel. You can tap the card's button, or answer out loud:
- To confirm: "yes", "yeah", "yep", "sure", "okay", "go ahead", "sounds good", "do it", or the action itself, like "send it" or "save it".
- To cancel: "no", "nope", "wait", "hold on", "not now", "never mind", "scratch that" or "forget it". "Yeah, never mind" still cancels.
- When there are several cards: say "both", "all of them", "the last one", or a name, like "just Priya's".
If you hedge ("maybe") or correct it ("actually, make it 3pm"), the assistant treats that as a normal reply and prepares a new card instead. A spoken yes only works within 5 minutes and only for the changes in the assistant's last reply. Cards created in Assistant mode expire after 15 minutes; you can still tap them until then. Everything is checked again when you confirm.
Does Assistant mode keep running when I change pages?
Yes. Assistant mode keeps running as you move between CRM pages, and closing the assistant panel doesn't stop it. The launcher button shows when it's listening or speaking.
The one exception is the Inbox page: the assistant isn't available there, so a voice session ends shortly after you open Inbox. If you reload the page, your conversation is kept; tap Assistant mode again to keep talking.
How long can a voice session last?
A voice session currently ends after 15 minutes, or after 2 minutes of quiet ("Voice paused after 2 minutes of quiet."). Tap Assistant mode to start again; your conversation is kept. You can have one live voice session at a time. If you start voice in another browser tab, the first one shows "Voice moved to another tab."
What happens if the voice isn't available?
If the real-time voice isn't available, the assistant falls back to a microphone button: hold it to talk, or tap it for hands-free. If spoken replies aren't available, replies appear as text in the panel. Interdatum doesn't fall back to your browser's built-in robotic voice.
On an iPhone, if you see "Speech recognition is turned off on this device", turn on Siri and Dictation in your iPhone settings, or type instead.
Can I choose the assistant's voice?
Owners and admins can choose the voice in Settings → CRM Settings, in the AI assistant card, under Assistant voice. Click Preview to hear a voice before you save. The choice applies to everyone on your team. If you don't see the option, the default voice is used.
How much voice is included?
Voice counts toward your plan's monthly AI limits, which reset on the 1st of each month (UTC):
| Monthly limit | Starter | Pro |
|---|---|---|
| Voice minutes (Assistant mode) | 60 | 300 |
| Spoken voice replies | 15,000 characters | 60,000 characters |
| Assistant replies (chat and voice) | 300 | 2,000 |
- Each reply the assistant gives counts as one assistant reply, whether you typed or spoke. Saying yes or no to a card doesn't count.
- When spoken voice replies run out, the assistant keeps answering in text.
- When voice minutes run out, the voice session ends and you can keep typing.
You can see your usage in Settings → Billing, in the AI usage this month card. See AI usage limits by plan for details.
Does it work on my phone?
Assistant mode runs in your web browser, so you can use it on a computer, tablet or phone. Allow microphone access when your browser asks. On a phone, the assistant panel opens full width.
