Missed-call text-back
Automatically text callers from your business number when you miss their call, so the lead doesn't go elsewhere.
Missed-call text-back sends an automatic text from your business number to anyone whose call you didn't answer. The text-back invites the caller to reply by text or book online, so a missed call doesn't turn into a lost job.
What does missed-call text-back do?
When a call to your business number isn't answered, missed-call text-back texts the caller right away from your business number. The caller still hears your voicemail greeting and can leave a message; the text-back is sent in the background at the same time.
The text-back starts a text conversation with the caller in your inbox. If the caller isn't already a client, Interdatum creates a new contact named "New lead" for their number so you can reply and follow up. When the caller texts back, the reply appears in the same conversation, and the AI text receptionist (Pro plan) can answer it if you've turned the AI receptionist on.
Text-backs appear in the conversation with an Auto text-back label, so you can tell them apart from messages your team typed.
Missed calls also fire the Missed Call automation trigger, so any automation workflow you've built on that trigger runs even if missed-call text-back is turned off.
How do I turn on missed-call text-back?
You need an active business number before missed-call text-back can send texts. If you don't have one yet, the card shows "Get a business number above to use text-back."
To turn on missed-call text-back:
- Go to Settings → Phone & Text.
- Find the Missed-call text-back card.
- Switch on Text back missed calls.
The switch saves immediately. To turn missed-call text-back off, switch Text back missed calls off again. Only workspace owners and admins can change missed-call text-back settings. Missed-call text-back is off until you turn it on.
What message does missed-call text-back send?
The default missed-call text-back message is:
"Hi, this is {businessName} — sorry we missed your call! Reply here and we'll help, or book online: {bookingLink}"
To change the missed-call text-back message, edit the Message box on the Missed-call text-back card and click Save message. The message can be up to 480 characters. You can use two variables:
- {businessName} is replaced with your business name.
- {bookingLink} is replaced with the link to your online booking (intake) page.
Click Reset to default to put the default text back in the box, then click Save message to keep it. If you save an empty message, the default message is used.
When does a call count as missed?
A call to your business number counts as missed when it ends up at your voicemail greeting. That happens when:
- The call rings in Interdatum CRM and nobody answers it within about 20 seconds.
- Call forwarding is on and the forwarded call isn't accepted. The person answering the forwarded call must press 1 to accept it.
- The caller hears the forwarding caller challenge and doesn't press 1.
- The call comes in outside your forwarding hours, so the call goes straight to voicemail.
Each call is handled only once, so a single missed call never produces more than one text-back.
When won't missed-call text-back send a text?
Missed-call text-back skips the text in these cases:
- Blocked or unknown caller ID: the caller withheld their number, or the number isn't a valid North American number.
- Already texted recently: each caller gets at most one text-back per 24 hours.
- Team numbers: the caller is one of your own numbers, such as a team member's phone, your call-forwarding number, or your admin notification number.
- Opted out: the caller previously replied STOP to your business number.
- No active business number: the number that was called isn't an active business number.
- Texting limits reached: your workspace hit its daily texting limit, or outgoing texts are paused because of your plan, a past-due payment, or your monthly overage spending cap.
Texts sent to landlines can't be delivered, so a caller who phoned from a landline won't receive the text-back.
Missed-call text-backs are sent from your business number and count toward your included texts and your daily texting limit, the same as texts your team sends.
